The Exchange Only setting within EDIT PART Details allows you to designate a part as exchange-only. Once enabled, all future Outgoing Quotes created for that part number will automatically be generated as Exchange Quotes, eliminating the need to manually select the quote type each time.
Navigate to Inventory > Part Numbers.
Open the desired Part Number (PN).
On the left side of the screen, under the Part Details section, click Edit.
The Edit Part Details window will appear.
There will be many options available to that PN details
Check the Exchange Only box and click Save if you want all inventory on that part number to be quoted as Exchange only.
Once saved, all future Outgoing Quotes created for this part number will automatically default to an Exchange Quote, ensuring customers are quoted using the correct exchange pricing.
Editing an Existing Part Number Profile
Open the desired Part Number Profile.
Select Edit.
Locate the Exchange Only checkbox.
Check the box to mark the part as Exchange Only.
Click Save.
Once saved, all future Outgoing Quotes created for this part number will automatically be assigned the Exchange quote type.
Viewing Part Details
When viewing a Part Number Profile, the left-hand panel displays key information about the selected part, allowing you to quickly verify details before making changes.
Typical information includes:
Part Number
Description
Manufacturer
CAGE
ECCN
NSN
Schedule B or HT Code
Manufacture List Price & DOP
Military part
Pass or Fail Item
Part Type
Special Container Required
Additional part-specific information configured within your system
This provides a quick reference while editing the Part Number Profile.
How It Works
When the Exchange Only option is enabled:
✅ All future Outgoing Quotes for that part will automatically be created as Exchange Quotes.
✅ Sales users do not need to manually select the quote type.
✅ The system references the Part Number Profile each time the part is added to an Outgoing Quote.
✅ This helps ensure exchange-only inventory is always quoted correctly and consistently.
Note: Enabling the Exchange Only setting affects future Outgoing Quotes created after the Part Number Profile is updated. Existing quotes will not be changed automatically.
Best Practice
Use the Exchange Only setting for parts that should always be sold as an exchange. This helps maintain consistency, reduces manual errors, and ensures customers receive the correct quote type every time.
