Managing incoming Request for Quotes (RFQs) from ILS, AeroX, and your Email Outlook!

The RFQ Management Tool brings all of your incoming quote requests into one centralized workspace, allowing your team to efficiently review, organize, assign, and respond to RFQs without switching between multiple platforms.

Whether your RFQs originate from Inventory Locator Service (ILS), AeroXchange (AEX), or email, they are all displayed in one easy-to-use dashboard. This gives your sales team complete visibility into incoming opportunities while helping ensure no RFQ goes unnoticed.

Note: Administrators have full access to the RFQ Management Tool by default. All other users must have the appropriate permission enabled before they can access this feature.


Finding the RFQs You Need

As RFQs begin to accumulate throughout the day, the filtering options make it simple to locate exactly what you're looking for. You can quickly narrow your results by:

  • Source

    • All RFQs

    • AeroXchange (AEX)

    • Inventory Locator Service (ILS)

    • Email

  • Status

    • Read

    • Unread

    • Ignored

    • Quoted

    • Not Quoted

  • Assignment

    • Assigned to Me

    • Not Assigned

  • Inventory Availability

    • Sellable Quantity

    • No Sellable Quantity

  • Date Range

  • Company Type

These filters allow you to focus on the RFQs that matter most, whether you're reviewing today's requests, checking for unquoted opportunities, or viewing only RFQs assigned to you.


Managing Multiple RFQs at Once

The checkboxes located on the left side of the RFQ list allow you to perform actions on multiple RFQs simultaneously. Instead of opening each RFQ individually, you can quickly:

  • Mark RFQs as Read

  • Mark RFQs as Unread

  • Ignore unwanted RFQs

  • Assign one or more RFQs to yourself

These bulk actions help keep your RFQ queue organized while making it easy for teams to divide and manage incoming workload.


Quote Directly from InfoTrader

One of the biggest advantages of the RFQ Management Tool is its seamless integration with the Part Number (PN) Profile.

Simply select an RFQ from the list, and InfoTrader will automatically open the corresponding PN Profile. From there, you can immediately create an Outgoing Quote without having to search for the part or navigate through multiple screens.

Importing Email RFQs into the RFQ Management Tool

In addition to receiving RFQs from Inventory Locator Service (ILS) and AeroXchange (AEX), the RFQ Management Tool can also import RFQs received through your Outlook email.

To enable this functionality, configure your Outlook account to automatically forward incoming RFQ emails to:

Once forwarding has been configured, qualifying RFQ emails received in your inbox will automatically appear in the RFQ Management Tool, allowing your team to manage email RFQs alongside those received from ILS and AeroXchange in one centralized location.

Tip: We recommend creating a forwarding rule specifically for RFQ emails if you do not want all incoming messages forwarded. This helps ensure that only quote requests are imported into the RFQ Management Tool.
